These terms set the operating boundaries for a clinic using VoiceCal: approve what the receptionist knows, keep a human recovery path, and use the service for careful administrative work rather than clinical judgment.

Agreement and eligibility
These terms govern access to VoiceCal services provided by VoiceCal Inc. By creating a workspace, purchasing a plan, or using the service, you agree to these terms for yourself and the clinic or organization you represent. You must have authority to bind that organization and be legally able to enter this agreement.
The service
VoiceCal provides configurable voice-receptionist, clinic-information, call-activity, booking, staff-handoff, phone-forwarding, and related workspace features. Features depend on the selected plan, clinic configuration, supported providers, and third-party availability.
VoiceCal may prepare drafts from public website information, but clinic staff must review and approve facts, instructions, booking permissions, safety rules, and test-call behavior before launch. A booking request is not a confirmed appointment unless the configured booking provider returns confirmation.
Clinic responsibilities
- Provide accurate clinic information and keep services, hours, prices, policies, escalation instructions, and booking configuration current.
- Give callers any notices and obtain any permissions required for call recording, transcription, automated voice interactions, appointment handling, and follow-up.
- Use appropriate clinical, privacy, security, and records-management practices and restrict workspace access to authorized staff.
- Review call activity and action-required items, maintain a staffed recovery path, and promptly handle emergencies, clinical questions, complaints, and uncertain requests.
- Configure call forwarding with the clinic's carrier and verify live behavior before relying on VoiceCal.
Safety and permitted use
VoiceCal is an administrative communications tool. It is not a clinician, emergency service, medical device, or substitute for professional judgment. Do not configure it to diagnose, prescribe, provide clinical advice, or handle emergencies without an immediate human emergency path.
You may not use VoiceCal unlawfully; to deceive or impersonate without authorization; to harass, discriminate, or place unsolicited calls; to collect unnecessary sensitive information; to bypass provider or plan limits; or to compromise the service, another workspace, or a third party.
Third-party services
VoiceCal relies on third-party identity, voice, model, telephony, billing, hosting, research, and booking services. Your use of an enabled provider may also be governed by that provider's terms. VoiceCal is not responsible for a provider's independent service, policy, outage, account restriction, or data handling, but will use reasonable efforts to expose failures and provide a safe recovery path.
Plans, billing, and cancellation
Paid plans renew at the interval shown during checkout until cancelled. Prices, included usage, and limits are shown in the product or order flow. Taxes may apply. Stripe processes payment details. You may manage or cancel an active subscription through the billing portal; cancellation normally takes effect at the end of the current paid period unless the checkout terms state otherwise.
VoiceCal may change plans or prices prospectively with reasonable notice. Except where required by law or expressly stated at purchase, fees already paid are non-refundable.
Availability and changes
VoiceCal may update, suspend, or discontinue features to improve safety, comply with law, respond to provider changes, or protect the service. We aim to provide a reliable service but do not guarantee uninterrupted calls, perfect transcriptions, complete website research, booking availability, or error-free model output. Clinics must maintain a practical human fallback.
Ownership and feedback
You retain rights in information you submit and grant VoiceCal the limited rights needed to process it for the service. VoiceCal and its licensors retain rights in the software, product design, documentation, and service technology. If you provide feedback, VoiceCal may use it without restriction or payment, provided it does not identify callers or disclose clinic-confidential information.
Suspension and termination
VoiceCal may limit or suspend access when reasonably necessary to address non-payment, material breach, security risk, unlawful use, provider requirements, or harm to callers or others. On termination, your right to use the service ends. Terms that by their nature should survive, including payment, ownership, disclaimers, limits, and dispute provisions, continue to apply.
Disclaimers and liability
To the extent permitted by law, VoiceCal is provided on an as-is and as-available basis without implied warranties of merchantability, fitness for a particular purpose, or non-infringement. VoiceCal does not warrant clinical outcomes, appointment revenue, provider availability, or that automated responses will satisfy every clinic obligation.
To the extent permitted by law, VoiceCal will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, or data. VoiceCal's aggregate liability arising from the service will not exceed the fees paid for the service during the three months before the event giving rise to the claim. These limits do not apply where the law does not permit them.

Questions about these terms can be sent to mail@voicecal.ca. We may update these terms prospectively. We will post the revised date and provide additional notice of material changes when appropriate. Continued use after the effective date means you accept the updated terms.
